What this notice covers

This notice covers the marketing website at coachroom.ai. The separate practice portal requires its own participant information. This notice does not describe the processing of live conversations in that portal.

Visiting this website

Cloudflare hosts this website and processes technical requests, including network addresses and browser information, to deliver and protect the site. Cloudflare may process requests internationally. Persistent Worker request logging is disabled; temporary diagnostic logs may be used to investigate errors.

Images and fonts are served with this website. Optional Google Analytics and Pipedrive Web Visitors load only after you allow each service below. This website does not load live video services.

Invitation requests and contact

The form distinguishes free-account access requests, coach-partnership enquiries, Room Creator enquiries and general messages. Depending on the request, it collects your name, email, professional area, individual or team preference, optional company, coaching specialism and the message you choose to provide.

When the request service is available, submitting sends these details through our first-party API to Pipedrive for review and follow-up. The request type and your agreement to being contacted are recorded. Requests are recorded in our Inbound pipeline for personal review. Access requests are treated as waitlist enquiries; submission does not approve access, create an account or trigger a portal invitation.

If the service is unavailable, the form shows an error and keeps your entries on the page. An interrupted CRM operation can leave a partial contact or request record. Each submission has a request reference. If delivery is uncertain, use “Check request status” on the same form rather than starting a new request. Pipedrive receives enquiry details only when you submit the form.

Use our contact form for privacy questions. Do not include sensitive client data.

Your analytics choice

Optional Google Analytics helps us understand page visits and successful enquiries. It stays off unless you choose to allow it. Your form answers are never sent to Google Analytics.

When enabled, Google processes technical device and visit information and uses first-party analytics cookies. We send page paths without query strings, the position and identifier of clicked enquiry links, and the enquiry category after a confirmed submission. A link click is measured separately from a confirmed enquiry. Advertising features and automatic form measurement are disabled. Google may process data internationally. See Google’s privacy policy.

Your choice is saved on this browser for six months. You can withdraw it here at any time; this stops future measurement and removes this site's analytics cookies. It does not delete data already received by Google. Analytics is optional and does not affect your invitation request.

Business visitor identification

With your permission, Pipedrive Web Visitors, powered by Leadfeeder, helps us identify companies visiting this website. It uses your IP address, device information, referring page and browsing activity to match a visit to a company. It may set a first-party identifier cookie for up to one year.

This choice is separate from Google Analytics. The tracker stays off until you allow it. It does not load on our enquiry form or on pages with URL parameters. We do not send form answers through this tracker. Pipedrive and Leadfeeder may process data internationally. See Leadfeeder’s privacy policy.

Your choice is saved in this browser for six months. You can switch tracking off here at any time. This stops future collection and removes the visitor identifier; it does not erase visits already received. Your invitation request works regardless of this choice.

Cookies and local preferences

This website does not set advertising cookies. Analytics cookies are set only after your optional consent above. Page motion follows your operating system’s reduced-motion setting. This website does not save a separate page-motion preference. The animation pause state is kept only for the current page visit. Your practice-sound choice is saved in sessionStorage for the current tab. To prevent duplicate requests, the form stores a random request reference, a fingerprint of the submitted details and its pending state in sessionStorage for the current tab. Form text and contact details are not stored there by this website. Cloudflare stores the corresponding request reference, fingerprint, delivery state and CRM record identifier in private durable storage to prevent duplicate submissions. These technical records do not contain your form text or API credentials. Technical delivery and duplicate-prevention records are deleted after 30 days. Enquiries that remain unanswered or are closed without further collaboration enter deletion after 12 months. Pipedrive retains deleted CRM records for a further 30 days before permanent deletion. Records needed for ongoing collaboration or legal retention obligations are handled separately. Browser autofill, history and session restoration follow your own browser settings.

Examples and product visuals

The conversation examples use prepared text and illustrative images. Dashboard values are example data. The marketing website does not access your microphone, record conversations, create a learner account or send information to a live avatar or evaluation service.

Your privacy requests

Depending on applicable law, you may have rights to access or correct personal information, request deletion or restriction, object to processing, receive portable data and complain to the relevant supervisory authority.
